GymOS is built for gym owners and their teams. We take the privacy of your data and your members' data seriously. This policy explains what data we collect, how we use it, and how we protect it.

1. Information We Collect

We collect information you provide when setting up and using GymOS. This includes: gym details (name, location, owner information); employee information (names, email addresses, roles); member information entered by you (names, contact details, membership records, payment history); and usage data such as login times and feature activity within the platform.

2. How We Use Your Information

We use the information collected to provide and operate the GymOS platform; to help you manage your gym's operations, members, and employees; to send operational communications such as account notifications and updates; to improve the platform based on how it is used; and to provide support when you contact us.

3. Data Storage and Security

Your data is stored securely on cloud infrastructure hosted in India. We use industry-standard security practices including encrypted data transmission (HTTPS), access controls so only authorized users can access your gym's data, and regular security reviews. Each gym's data is completely isolated — no gym can access another gym's data.

4. Data Ownership

You own your gym's data. The member information, payment records, and operational data you enter into GymOS belongs to your gym. We do not sell or share your data with third parties for advertising purposes. We do not use your gym's member data for any purpose other than providing you the GymOS service.

5. Member Privacy

If you add gym members to GymOS, you are responsible for having appropriate consent from those individuals to store their information in a digital system. You should inform your members that their details are managed through gym management software. Members' data is accessible only to authorized staff of your gym.

6. Third-Party Services

GymOS may use third-party infrastructure services (such as cloud storage and email delivery) to operate the platform. These services are selected for their security and reliability. We do not share your data with these providers beyond what is necessary to operate the service.

7. Data Retention

We retain your data for as long as your gym account is active. If you close your account, you can request an export of your data within 30 days of account closure. After this period, your data will be deleted from our systems, except where retention is required by applicable law.

8. Access and Corrections

You can update your gym's information and your profile details directly within GymOS. If you need to correct or delete specific data and cannot do so through the platform, contact us at support@gymoss.com and we will assist you.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or through the platform before changes take effect. Continued use of GymOS after changes constitutes acceptance of the updated policy.
